The Role

We are seeking an experienced Executive Assistant / Office Manager to provide high-level administrative support to senior leadership while coordinating office and operational activities.

This part-time remote opportunity is ideal for a highly organized professional who can manage schedules, communications, meetings, documentation, travel arrangements, and administrative workflows while maintaining confidentiality and professionalism.

Key Responsibilities

  • Provide proactive administrative and executive support to senior management and business leaders.
  • Manage calendars, meetings, appointments, schedules, reminders, and competing priorities.
  • Coordinate internal and external meetings, including agendas, materials, minutes, and follow-up actions.
  • Handle professional correspondence, emails, phone calls, and other executive communications.
  • Prepare presentations, reports, documents, spreadsheets, and management summaries.
  • Coordinate business travel, accommodation, transportation, itineraries, and expense documentation.
  • Maintain organized digital files, records, contracts, correspondence, and confidential documents.
  • Support office administration, supplier coordination, purchasing, and general operational requirements.
  • Coordinate with internal departments, clients, vendors, partners, and external stakeholders.
  • Track deadlines, action items, projects, and follow-up activities to ensure timely completion.
  • Assist with onboarding, administrative procedures, events, meetings, and company initiatives.
  • Maintain office policies, procedures, administrative workflows, and documentation.
  • Monitor administrative expenses, invoices, supplies, and vendor-related activities.
  • Identify opportunities to improve administrative processes, productivity, and operational efficiency.
  • Handle confidential business and executive information with a high level of discretion.
Requirements
  • Bachelorโ€™s degree or equivalent qualification in Business Administration, Management, Communications, or a related discipline is preferred.
  • 3+ years of professional experience as an Executive Assistant, Office Manager, Personal Assistant, Administrative Manager, or similar role is preferred.
  • Excellent organizational, time-management, communication, and multitasking skills.
  • Proven ability to manage calendars, meetings, travel, documents, and executive priorities.
  • Strong proficiency in Microsoft Office, Google Workspace, scheduling tools, and collaboration platforms.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and ability to produce accurate, professional documents.
  • High level of discretion and ability to handle confidential information.
  • Strong interpersonal skills with the ability to communicate with senior executives and external stakeholders.
  • Proactive, reliable, resourceful, and capable of working independently.
  • Experience coordinating remote teams and international business activities is advantageous.
