About the Role

Brilliant Bilingual is seeking a Lead Virtual Assistant to support the next phase of our company’s growth by owning operations, communication systems, and administrative team coordination.

This is not a task-only role.

The Lead VA serves as the operational backbone of the business — ensuring clarity, consistency, follow-through, and alignment across systems and people. You will lead administrative workflows, coordinate a distributed VA team, and reduce leadership friction by building and maintaining strong systems.

The role begins at approximately 10 hours per week, with opportunity to grow based on aligned performance.

Key Responsibilities

Lead and facilitate weekly administrative team meetings

Coordinate and oversee task execution across the VA team using Asana

Maintain clear communication protocols and workflows

Standardize, document, and improve SOPs and operational systems

Monitor inboxes and communication channels during core hours

Ensure tasks are completed accurately and handed off cleanly

Identify gaps, inefficiencies, or risks and propose solutions

Reduce single points of failure through documentation and cross-training

Availability Requirements (Non-Negotiable)

You must be available for communication:

Monday–Friday

9:00 a.m. – 12:00 p.m. and 3:00-4:00pm Eastern Time

This does not mean you are working on tasks during the full window — but you must be responsive and available for:

Meetings

Inbox/phone monitoring

Team coordination

Time-sensitive communication

Required Skills & Experience

Strong written and spoken English

Prior experience coordinating or managing people’s work (formal or informal)

High proficiency with task management tools (Asana required)

Strong organizational and systems-thinking skills

Ability to document processes clearly and thoroughly

Proactive communicator who closes loops and follows through

Comfortable making judgment calls and working independently

This Role Is Not a Fit If You:

Require step-by-step instructions for familiar tasks

Struggle with consistency, follow-through, or communication

Are unavailable during U.S. Eastern core hours

Prefer working in isolation without coordinating others

Compensation & Growth

Part-time to start (approx. 10 hours/week)

Hourly rate based on experience and alignment
