System Administrator

The System Administrator is responsible for the smooth, secure, and uninterrupted operation of the college's IT infrastructure, including servers, network, internet, computer labs, ERP, software applications, user accounts, cybersecurity, and technical support for academic and administrative activities.

Key Roles & Responsibilities1. Server & System Administration

  • Manage and maintain college servers, virtual machines, storage systems, and operating systems.
  • Monitor server performance, uptime, storage, CPU, memory, and system health.
  • Install, configure, update, and maintain Windows/Linux servers.
  • Perform regular system upgrades, patch management, and preventive maintenance.
  • Ensure availability of critical academic and administrative systems.

2. Network & Internet Management

  • Manage the college's LAN, WAN, Wi-Fi, internet, routers, switches, firewalls, and access points.
  • Monitor network performance and bandwidth utilization.
  • Troubleshoot connectivity and network-related issues.
  • Manage IP addresses, DNS, DHCP, VPN, and network access.
  • Coordinate with Internet Service Providers and network vendors.

3. Computer Lab Administration

  • Ensure proper functioning of all computers in academic laboratories.
  • Install and configure operating systems, drivers, applications, and required software.
  • Maintain standard software configurations across laboratories.
  • Monitor lab systems and resolve hardware/software issues.
  • Coordinate with departments regarding laboratory software requirements.

4. ERP & Academic Systems

  • Provide technical support for College ERP, LMS, attendance systems, examination systems, library systems, biometric systems, and other institutional applications.
  • Create and manage system-level user accounts and access permissions.
  • Coordinate with ERP/application vendors for technical issues.
  • Support integration between various institutional systems.

5. Cybersecurity & Access Control

  • Implement and monitor antivirus, firewall, endpoint security, and access-control mechanisms.
  • Monitor unauthorized access, malware, vulnerabilities, and security incidents.
  • Ensure timely security patches and updates.
  • Maintain appropriate access permissions for faculty, staff, and students.
  • Support implementation of institutional IT security policies.

6. Email & User Account Administration

  • Create, modify, and deactivate official faculty/staff/student accounts as authorized.
  • Manage institutional email services and related access.
  • Assist users with password, account, and access-related issues.
  • Ensure appropriate role-based access to IT systems.

7. Backup & Data Recovery

  • Implement and monitor regular backups of critical institutional data.
  • Maintain backup schedules and backup records.
  • Periodically verify the integrity of backups.
  • Support data restoration and disaster-recovery activities.
  • Develop and maintain basic IT disaster-recovery procedures.

8. Hardware & Software Management

  • Monitor and maintain desktops, laptops, servers, printers, projectors, and other IT equipment.
  • Maintain records of hardware, software, licenses, and IT assets.
  • Coordinate warranty, AMC, repairs, and replacement activities.
  • Ensure licensed and approved software is installed across systems.

9. Technical Support

  • Provide technical support to faculty, staff, students, departments, and administrative offices.
  • Attend and resolve hardware, software, network, printer, email, and system-related complaints.
  • Maintain an IT support/ticket register.
  • Ensure timely closure of technical complaints.

10. IT Infrastructure Projects

  • Support installation and commissioning of new IT infrastructure.
  • Participate in campus-wide network expansion, server implementation, Wi-Fi projects, CCTV/network integration, and technology upgrades.
  • Provide technical inputs for procurement of IT hardware and software.
  • Coordinate with external IT vendors and service providers.
