Job Summary

We are seeking a detail-oriented and patient-focused Remote Scheduler to manage appointment scheduling, patient communication, and administrative coordination in a healthcare setting. The role involves handling inbound and outbound calls, verifying patient eligibility and insurance, coordinating telemedicine and in-person visits, and supporting providers through accurate scheduling and documentation using EHR systems.

Key Responsibilities

Patient Scheduling & Coordination

Answer and triage inbound patient phone calls professionally and efficiently.

Schedule appointments for sick visits, well visits, telemedicine, and in-person consultations.

Handle telemedicine appointment scheduling for conditions such as pink eye, skin rashes, cough, ADHD, referrals, and similar concerns.

Reschedule, move, and follow up on appointments as required.

Schedule missed or overdue well visits and CPX appointments based on no-show dashboards.

Patient Communication & Support

Receive patient calls and address appointment-related issues or concerns.

Escalate medical questions or concerns to providers by booking appropriate visits or sending cases when required.

Make outbound follow-up calls to patients for scheduling, reminders, and missed appointments.

Insurance, Eligibility & Demographics

Verify patient eligibility and Primary Care Provider (PCP) status for next-day appointments.

Validate patient demographic details and insurance information.

Check insurance coverage against provider-approved insurance lists for scheduled appointments.

Perform eligibility checks for prospective and scheduled patients.

Administrative & System Tasks

Monitor and manage tasks from the Athena inbox and other assigned dashboards.

Process prior authorizations for medications and specialist referrals.

Send pre-check-in forms, intake documents, and correspondence forms to patients via Kyruus.

Process immunization records, physical forms, and appointment-related payments.

Track and follow up on prospective patients.

Systems & Tools

Work efficiently with Electronic Health Record (EHR) systems, such as:

Athena eClinicalWorks

Epic Systems

NextGen Healthcare

Required Skills & Qualifications

Prior experience in medical scheduling, patient coordination, or healthcare administration.

Strong verbal communication and interpersonal skills.

Ability to manage high call volumes and multitask effectively.

Experience with EHR systems, preferably Athena or similar platforms.

Knowledge of insurance verification, eligibility checks, and prior authorizations.

High attention to detail and accuracy in data entry and documentation.

Comfortable working remotely and managing tasks independently.
