Virtual Pharmacy Technician

Position Summary

We are seeking a reliable and detail-oriented Virtual Pharmacy Technician to support the daily operations of an independent retail pharmacy. This position will work remotely and assist the pharmacy team with prescription processing, insurance issues, refill coordination, patient communication, delivery coordination, and other administrative pharmacy functions.

The Virtual Pharmacy Technician will work under the supervision of the pharmacist and must comply with all applicable pharmacy laws, HIPAA requirements, and company policies.

Primary Responsibilities

  • Enter and process new prescriptions and refill requests in the pharmacy management system.
  • Review prescription information for completeness and accuracy before pharmacist verification.
  • Process insurance claims and troubleshoot common third-party rejections.
  • Contact insurance companies when necessary regarding:
  • Refill-too-soon rejections

  • Prior authorization requirements

  • Formulary issues

  • Coordination of benefits

  • Coverage problems
  • Assist with prior authorization follow-up and communicate required information to prescribers.
  • Contact physician offices for refill authorizations, clarification requests, and prescription-related follow-up.

  • Pickup or delivery arrangements
  • Coordinate prescription deliveries and communicate delivery instructions to pharmacy staff and drivers.
  • Assist with medication synchronization and adherence programs.
  • Contact patients regarding upcoming refills and overdue medications.
  • Assist with maintenance medication refill reminders.
  • Support bubble-pack or compliance-packaging patients by coordinating medication changes and refill schedules.
  • Document patient, prescriber, and insurance communications accurately in the pharmacy system.
  • Assist with processing prescription transfers when permitted by law and pharmacy policy.
  • Identify prescriptions requiring pharmacist intervention and immediately refer clinical questions to the pharmacist.
  • Assist with inventory-related administrative functions, including identifying out-of-stock medications and coordinating follow-up with pharmacy staff.
  • Support vaccine appointment scheduling and patient outreach when needed.
  • Answer incoming pharmacy calls and route pharmacist-specific or clinical questions appropriately.
  • Maintain patient confidentiality and comply with HIPAA requirements at all times.
  • Perform other pharmacy administrative duties as assigned.

Qualifications Strong knowledge of pharmacy terminology and prescription processing.
  • Excellent communication and customer-service skills.
  • Strong attention to detail and organizational skills.
  • Ability to work independently in a remote environment.
  • Comfortable using computers, pharmacy software, email, phone systems, and online insurance portals.
  • Ability to maintain confidentiality and follow HIPAA requirements.

  • Ability to access pharmacy systems securely through approved remote-access technology.

Important Role Limitation The Virtual Pharmacy Technician does not provide clinical counseling, make therapeutic recommendations, perform final prescription verification, or answer questions that require pharmacist professional judgment. These matters must be referred to the pharmacist. Suggested Work Priorities A typical workday may include:
  1. Processing new prescriptions and refill requests.
  2. Resolving insurance rejections.
  3. Following up on prior authorizations.
  4. Contacting prescriber offices for refill requests.
  5. Calling patients regarding prescription status and refills.
  6. Coordinating delivery orders.
  7. Managing medication synchronization and adherence calls.
  8. Supporting compliance-packaging patients.
  9. Documenting all communications.
  10. Escalating clinical or unusual issues to the pharmacist.
Preferred Candidate Profile The ideal candidate is an experienced pharmacy technician who understands independent retail pharmacy workflow, can handle a high volume of prescription-related tasks accurately, communicates professionally with patients and healthcare providers, and can work independently while remaining closely connected with the onsite pharmacy team.
