HR Operations Administrator, Level II

Job Description:

  • Process employee lifecycle transactions in HR systems, including hires, transfers, organisational changes, compensation updates, benefits changes and terminations
  • Maintain accurate employee records, documentation and personnel files in accordance with company policies, data privacy requirements and retention standards
  • Manage HR workflows, approvals and case management activities
  • Serve as a first point of contact for employees and managers, resolving or escalating HR operational enquiries
  • Support HR systems maintenance, data entry, reporting, data validation and quality assurance
  • Administer employee documentation, including contracts, letters, employment changes and HR correspondence
  • Support audits, compliance, governance, right-to-work checks, background screening and pre-employment requirements
  • Support payroll inputs, benefits administration, invoicing, eligibility reporting and reconciliation across supported jurisdictions
  • Prepare recurring and ad-hoc HR reports, data extracts, operational metrics and workforce administration information
  • Provide administrative and coordination support for HR projects, process implementations, annual HR programmes and employee experience initiatives
  • Identify and implement process improvements and maintain standard operating procedures and process documentation
  • Collaborate with HR Operations, HRIS, payroll, HR business partnering, benefit providers and other stakeholders

Requirements:

  • Experience supporting HR administration, HR operations, shared services or employee lifecycle processes in a complex organisational environment
  • Experience processing employee lifecycle transactions, including hires, changes, transfers and terminations
  • Experience maintaining accurate and confidential employee records, HR documentation and personnel files
  • Experience using HR systems for transactions, record maintenance and operational HR activities
  • Experience supporting payroll administration or payroll-related data management across one or more jurisdictions
  • Experience supporting employee benefits administration, provider coordination and reconciliation
  • Experience with HR workflows, case management and service delivery environments
  • Experience preparing and validating HR reports, employee data and operational metrics
  • Experience supporting compliance, audit, record management or data quality activities
  • Experience working with stakeholders, service providers or external vendors
  • Understanding of employee lifecycle processes, HR administration best practices and operational service delivery
  • Strong attention to detail, organisation, communication, customer service and problem-solving skills
  • Ability to manage confidential information and work independently across changing priorities
  • Proficiency in Microsoft Office, particularly Excel, Outlook and Word
  • Experience with HR systems, databases, workflow or ticketing systems, payroll and benefits platforms
  • Understanding of data privacy, confidentiality and information security principles
  • Experience with Oracle HCM or equivalent HR systems desirable
  • Relevant HR, administration, payroll or business qualifications or certifications desirable
