LTD.JOB DESCRIPTION – FIELD OFFICE COORDINATOR Position: Field Office Coordinator – Liaisoning & Government Authority Coordination Department Liaisoning / Project Coordination LocationAhmedabad, Gujarat Employment TypeFull-Time Salary Range ₹15,000 – ₹30,000 per month (Depending on experience, communication skills and knowledge of government procedures) About the RoleV-Maker Projects Pvt. Ltd. is looking for a Field Office Coordinator to manage day-to-day coordination with AMC, AUDA, BPSC and other Government / Local Authorities . The candidate will be responsible for visiting government offices, submitting and following up on documents, coordinating with concerned officers/staff, tracking file movement, resolving documentation-related issues and ensuring that assigned projects progress smoothly. This is NOT a Sales Job. The primary responsibility is field execution, government-office coordination, documentation, liaisoning and project follow-up. Key Responsibilities1. Government Office CoordinationRegularly visit AMC, AUDA, BPSC and other Government / Local Authorities as required. Coordinate with concerned departments, clerks, officers and technical staff. Follow up on applications, permissions, approvals, NOCs and other official processes. Understand the status of files and identify the next required action. Ensure timely movement and processing of assigned files. 2. Document & File ManagementSubmit and collect documents from government offices. Check whether required documents are complete before submission. Maintain proper records of submitted documents, applications and correspondence. Track file numbers, inward/outward details and application status. Coordinate for corrections, additional documents and compliance requirements. Maintain physical and digital records of project documents. 3. Liaisoning & Follow-UpRegularly follow up with concerned authorities regarding pending work. Communicate professionally with government officials and office staff. Understand queries raised by authorities and coordinate with the internal team for solutions. Follow up until the assigned work reaches the required stage. Ensure that unnecessary delays are identified and communicated to management. 4. Internal Staff CoordinationCoordinate with architects, civil draftsmen, engineers, project managers and office staff. Communicate government-office requirements to the concerned internal team. Collect revised drawings, documents, forms and supporting papers from the office team. Ensure that required documents are prepared and delivered on time. Provide regular updates regarding project/file status. 5. Field ExecutionTravel to various government and authority offices as required. Handle day-to-day field activities related to assigned projects. Collect official information and requirements from concerned departments. Coordinate meetings or discussions with concerned officials whenever required. Complete assigned field tasks within the given timeline. 6. Project Status ReportingMaintain a daily/weekly status of assigned files and projects. Report pending matters and required actions to the senior/manager. Inform management immediately about important objections, delays or documentation issues. Maintain a proper follow-up schedule for every active file. Required SkillsEssentialGood Gujarati communication skills . Basic to good English/Hindi communication skills . Good knowledge of MS Excel / Google Sheets . Basic computer knowledge. Good documentation and filing skills. Ability to communicate professionally with government officials. Good follow-up and coordination skills. Ability to travel within Ahmedabad for field work. Good understanding of office procedures and documentation. AdvantagePrevious experience in AMC / AUDA / BPSC / Government liaisoning . Knowledge of Building Plan Approval / B.U. Permission / T-Girder / RCC / TP Scheme / NOC procedures . Experience with architecture, construction, real estate or liaisoning companies. Knowledge of government application and approval procedures. Existing experience dealing with government departments and authorities. EducationMinimum 12th Pass / Graduate . Diploma / Graduate candidates from Civil, Architecture, Commerce or related fields may be preferred. Core Objective of the Position“To ensure that every assigned government-related file and project moves smoothly from document submission to the next stage through proper field follow-up, authority coordination and internal team coordination.”
