Data Entry Coordinator (Remote)

PulseMediaNL is seeking a highly organized, detail-oriented, and dependable Remote Data Entry Coordinator to support daily business operations by ensuring the accuracy, integrity, and organization of company data and administrative records. The successful candidate will coordinate data entry activities across multiple departments, maintain accurate digital records, oversee data quality processes, and provide administrative support to ensure efficient day-to-day operations. Key Responsibilities

Data Entry Data Coordination

  • Accurately enter, update, and maintain company data across databases, CRM platforms, spreadsheets, and internal management systems.
  • Coordinate daily data entry activities to ensure timely processing of business information.
  • Review incoming data for completeness, consistency, and accuracy before entry.
  • Identify discrepancies, missing information, and duplicate records, coordinating with internal departments to resolve issues.
  • Perform routine quality checks and data audits to maintain database integrity.
  • Standardize data formatting and ensure compliance with company data management procedures.
  • Maintain organized electronic records for efficient retrieval and reporting.
  • Support data migration and database cleanup projects as needed.

Administrative Support

  • Provide administrative assistance to managers and cross-functional teams.
  • Prepare, organize, proofread, and format reports, presentations, spreadsheets, and company documentation.
  • Coordinate meetings, maintain calendars, schedule appointments, and organize virtual conferences.
  • Assist with onboarding documentation and administrative processes for new employees.
  • Support company operations through various administrative and coordination tasks.
  • Maintain office documentation, digital forms, and operational records.

Record Management

  • Maintain confidential employee, client, vendor, and company records.
  • Organize digital filing systems using company-approved document management procedures.
  • Ensure records remain current, complete, and easily accessible.
  • Archive outdated records according to company retention policies.
  • Monitor compliance with internal confidentiality, privacy, and data security standards.
  • Assist with document retrieval during audits or departmental reviews.

Communication Cross-Department Coordination

  • Respond promptly and professionally to internal requests for information.
  • Coordinate with multiple departments to collect, verify, and update operational data.
  • Communicate data discrepancies and provide timely follow-up until resolution.
  • Maintain clear documentation of completed tasks and ongoing projects.
  • Assist with workflow coordination to ensure efficient information sharing across teams.
  • Support internal communication initiatives and administrative projects.

Reporting Quality Assurance

  • Generate routine and ad hoc reports using spreadsheets and company databases.
  • Track data accuracy metrics and identify opportunities for process improvements.

  • Assist management with special projects requiring research, reporting, and data analysis.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Information Management, or a related field is preferred.
  • Previous experience in data entry, data coordination, administrative support, or office administration preferred.
  • Excellent typing speed with exceptional accuracy and attention to detail.
